ISANIZE is the registration portal of Stichting ISAN NL, the Dutch ISAN agency. Through ISANIZE you register ISAN numbers, match a catalog against the ISAN registry and manage your registrations. To do that we process personal data. Below is which data, what for and for how long.

Name, e-mail address, password (stored encrypted) and, if you enter them: company name, address, phone number, VAT or registration number and invoice details. Needed to log in, to tie your registrations and matchings to your account and to make out invoices.
- Your registrations
The details of the work you register: titles, year, duration, country, makers and optionally the crew. We send those to the ISAN International Agency in Geneva (Switzerland), which manages the ISAN registry. The work enters the international ISAN registry with your name or company name as registrant; the registry is consulted by the audiovisual sector worldwide. An ISAN registration is permanent.
- Your matchings
The list of titles you upload, including the names of directors and cast in it. We look those titles up in the ISAN registry and check the match with the help of AI. Only the details of the works are sent, never your account data. The file and the result stay in your account until you delete the matching.
- Payments
Payments go through Mollie. Mollie processes your payment details (such as IBAN or card number) under its own privacy policy; we only receive the status of the payment and a reference.
- E-mail
We e-mail you about your registrations, matchings, invoices and account: the ISAN code, the invoice, the result file. Now and then we e-mail account holders about new features of ISANIZE; if you do not want that, let us know.
- Visiting the site
Our server records visits in log files (with IP address) to keep the site secure and to fix problems. For visitor statistics we use Google Analytics, see the cookies page.
Who we share data withWe do not sell data. We share it only with parties needed for the service: the ISAN International Agency (registrations), Mollie (payments), Google (statistics), the AI service we use for matching (work details only) and the providers that host our site and e-mail. Where data is processed outside the European Union, this is based on an adequacy decision (Switzerland) or the EU's standard contractual clauses.
How long we keep dataWe keep your account data as long as your account exists. Invoices are kept for seven years, as Dutch tax law requires. ISAN registrations are permanent: that is the point of an ISAN. Matching files stay in your account until you delete them. Log files are kept briefly.
SecurityThe connection to ISANIZE is encrypted (https), passwords are stored encrypted and only staff who need it for their work have access to your data.
Your rightsYou can access your data, have it corrected or deleted, object to a processing or ask for your data to be transferred. You change your account details yourself in your account; you can have your account deleted through your account or by e-mail. Note that an ISAN registration cannot be undone: the details of the work remain in the ISAN registry. Send questions or requests to
info@isannl.org. If you feel we do not handle your data properly, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
